Revenue shares

How to agree in Numera that part of a client's sales invoices goes to the account manager or another payee, when it becomes payable and how to see it month by month.

Updated

A revenue share ("Tulu jaotus") is an agreement under which part of a client's sales invoices goes to someone as pay: for example to the person who brought the client. Numera works out the share on every invoice itself and shows how much has been earned, how much is still waiting for the client's payment and how much is still to be paid out.

Agreements are added and changed by the company's owner and accountant. Other users see only the agreements they are the payee of.

Account manager

A client's details have an Account manager ("Kliendihaldur") field: the user who brought the client and deals with them. A new agreement's payee is filled in with the account manager. You can also pick the payee yourself.

The payee stays on the agreement even when you later change the account manager. Pay that was promised does not disappear with a field change: an agreement is ended by its end date.

Adding an agreement

  1. 1

Open the client and find the Revenue shares section

    Click Add agreement.

  2. 2

Choose the payee and the pay

    • Payee – a user of the company.
    • Pay – the kind of share, see below.
    • Rate or Amount – a percentage or an amount in euros.
  3. 3

Choose how long the agreement applies

    • Recurrence – on every invoice, or once, on the client's first paid invoice.
    • From and Until – invoices dated between them. An empty field means no limit.
    • Cap – the total beyond which nothing more is earned under this agreement.
    • Counted as – whether the amount is the company's cost or an employee's gross pay. Gross pay can only be chosen for an employee, and the employer's taxes are then added to the cost.
  4. 4

    Save

Numera works out the share on all of this client's invoices that fall within the agreement, including those that existed before.

Kinds of share

  • Percent of the invoice – a percentage of the invoice amount without VAT.
  • Percent of the margin – a percentage of the invoice's margin ("Müügikate"). It is the same margin the invoice itself shows: the amount of the work without VAT, less the lines' cost (Total cost). Prepayment offset lines are not part of the margin.
  • Fixed amount – the same amount on every invoice, or once.

A negative margin earns nothing. Each agreement is worked out on the invoice on its own: one agreement's share does not reduce another agreement's margin.

When a share becomes payable

A share is earned on the invoice date, but it becomes payable when the client pays the invoice. When the client has paid part of the invoice, the same part of the share becomes payable.

A credit note takes back its part of the share by the same rules: on a percentage agreement the percentage of the credit note's amount or margin, but never more than the original invoice earned. The share of an annulled invoice is taken back as well.

When an invoice is changed after part of its share has become payable, Numera does not change the old row. It adds a correction dated on the day of the change, so the figures of earlier months stay as they were.

An agreement's terms cannot be changed once it has earned something. Its note and its end date can change. Add new terms as a new agreement.

Paying out

How a share is paid out depends on who the payee is:

  • An employee – payroll offers the payable share as an addition to the salary.
  • A user who invoices through their own company – on their purchase invoice line, choose the agreement the line pays. One purchase invoice can pay several agreements, one line each.
  • Any other payee – for example an owner's part. Mark the share paid (Mark as paid) with a date and an amount. No entry is booked for it.

Month by month

The header of the payee's user page (Settings → Users, pick the user) sums them up: Earned (with a line of the last 12 months), Awaiting payment and To pay out. If the person has been paid more than they have earned so far, To pay out reads 0.00 € and the amount paid ahead is noted under it.

The By month view shows for each month how many invoices earned a bonus and how large the bonus is. It counts the invoices dated in that month. Opening a month shows each invoice's client and project, invoice date, base (the invoice net or the invoice's margin), rate and bonus, and whether the client has paid it. The bonus can be paid out once the client has paid.

The view shows one calendar year, the current one first. Pick an earlier year in the view's header, with the arrows or by clicking the year. Payouts are listed apart. You can download the chosen year as a CSV file.
