Sender address

Add your company's domain so invoices and proposals are sent from your own address and are not quarantined by the recipient's mail server.

Updated

Without a domain of its own, Numera sends your invoices, proposals and reminders from no-reply@numera.ee, with your company's name as the sender name. Microsoft 365 and some other mail servers may quarantine such mail or file it as junk, because the address does not belong to the company the mail came from. When you add your company's own domain on the Sender address page, mail goes out from your company's own address, for example invoices@company.com.

Replies always go to your company's invoice e-mail address, both before and after you add a domain.

Requirements

  • You have access to the company settings.
  • You have access to the domain's DNS settings at your domain host (for example Zone, Veebimajutus or Cloudflare), or someone who has that access adds the records for you.
  • The sender address is on the domain you add.

Adding a domain

  1. 1

    Open Settings → Sender address

The page is in the Email & AI settings group. The row Current sender shows the address mail is sent from right now.

  2. 2

Enter the domain and the sender address

In Domain, type your company's domain, for example company.com, and in Sender address an address on that domain, for example invoices@company.com. Click Add domain.

  3. 3

Add the DNS records at your domain host

A DNS records card with three CNAME records appears on the page. Each record has a Name and a Value. At your domain host, add three CNAME records to the domain's DNS: the record's Name as its name and its Value as its value. Copy copies one field, Copy all copies all three records at once.

Some domain hosts add the domain to the end of the name themselves. Then enter only the part before the domain: abc123._domainkey instead of abc123._domainkey.company.com.

  4. 4

    Wait for verification

Numera checks the records by itself every hour. A domain is usually verified within a few minutes to a few hours after the records are added. To check at once, click Check again on the DNS records card. The bottom of the card shows when the records were last checked.

If the records are not found within 72 hours, checking stops and the status becomes Records not found.

Statuses

The domain's status is in the header of the Mail sender card.

Status What it means
Waiting for DNS records The domain has been added, but its records have not been found yet. Mail is sent from no-reply@numera.ee.
Verified The records were found and mail is sent from your sender address. The row Verified shows when it was verified.
Records not found The records were not found within 72 hours, or they have been removed from the DNS. Mail is sent from no-reply@numera.ee.

Until the domain is verified, Numera sends no mail from it.

Which mail uses the sender address

Once the domain is verified, the mail Numera sends on your company's behalf to clients, suppliers and employees goes out from your sender address:

  • sales invoices
  • overdue invoice reminders
  • quotes and proposals, and the access code for a proposal
  • doubtful invoice notices to the buyer
  • document requests
  • payslip e-mails

Numera's own notices to your company's users, such as the notice that a client accepted a proposal, still come from the Numera address.

If the records are removed from the DNS

Numera keeps checking the records of a verified domain. If they are no longer found, the status becomes Records not found, mail goes out from no-reply@numera.ee again and the company's owners get a notice in Numera. Add the records back and click Check again.

Changing the sender address

Type a new address on the same domain in Sender address and click Save.

Removing the domain

Click Remove domain on the Mail sender card and confirm. Mail is then sent from the Numera address. After that you can delete the DNS records at your domain host.

A company can have one domain. To add a different one, remove the current domain first.

Frequently asked questions

Check that all three records are added exactly as the page shows them, and that the domain is not at the end of the name twice (abc123._domainkey.company.com.company.com). Then click Check again. If the status does not change, remove the domain, add it again and add the DNS records the page then shows.

With a verified domain, the sender is your company's name and your sender address. The client's reply goes to your company's invoice e-mail address.
